What NextCrew is built for
NextCrew was founded in 2012 and describes itself as the operating system for high-volume staffing agencies. By its own account it serves agencies across North America and Europe, in healthcare, industrial, hospitality, event and experiential marketing staffing.
Its scope and configurability are the headline strengths. NextCrew runs the agency lifecycle in one connected system: an applicant tracking system for recruiting and onboarding, a staffing CRM, job management and workforce scheduling, a Crew Member mobile app for onboarding, job details and shift clock-in, timecard management with auto-approval, and payroll. On top sits CrewPilot AI, an intelligence layer covering compliance, shift matching, credential tracking and workforce forecasting.
It is open by design, with a REST API, webhooks and a native Zapier integration, plus named connections including Everee for same-day pay, Nursys for credential verification, QuickBooks and Paychex on the payroll and accounting side, and VMSPark on the enterprise VMS side, alongside categories for background screening, job board distribution and HRIS systems.

It does not train itself on your operation and it is not what ranks Smart Fill’s shortlist.
The compliance gate attaches requirements to the site, not the worker. Each site carries its own mandatory requirements, each set to enforce or to warn. Where a requirement enforces, a worker missing it or holding an expired document cannot be allocated to that site and drops out of Smart Fill’s shortlist, with every block written to the audit trail. Workers self-onboard from their phone — details, tickets and licences photographed, your induction, medical information held with application-level encryption, and tax, super and bank details. That does not make NextCrew a weaker product. It does mean an Australian agency should scrutinise carefully how it would handle local tickets and inductions, Single Touch Payroll, modern award interpretation, state labour hire licensing and Australian privacy obligations, none of which are its home turf. Ask, and get the answers in writing before committing.
Payroll and accounting that fit your stack
Both get workers paid, through different plumbing. NextCrew runs payroll in-platform and integrates with QuickBooks and Paychex. OnCrew does not run payroll at all; it captures verified, auditable hours and exports them payroll-ready to Employment Hero, Xero or MYOB. NextCrew’s own materials describe CrewPilot’s compliance AI as keeping crew members cleared to work by catching credential gaps before they become liabilities and escalating only when human judgment is genuinely needed. That is a detect-and-escalate model as described. We could not verify from its public pages whether it also hard-blocks a non-compliant placement, so we are not claiming it does not.
What we can describe precisely is OnCrew’s: where a site requirement is set to enforce, the allocation cannot proceed and the block is written to the audit trail; where it is set to warn, the allocation proceeds and the coordinator is told what is missing. The per-site granularity is the part that matters for Australian labour hire.
